01Who we are

FuturMinds ("we", "us") is an AI consulting practice helping founder-led businesses deploy production AI systems. This policy explains what information we collect when you visit futurminds.com or engage with us, how we use it, and the choices you have.

02What we collect

Information you give us

When you submit the contact form, we collect: your name, email, company, website, annual revenue range, area of interest, the problem you describe, your investment range, timeline, and how you heard about us. This is the information you choose to share.

Information collected automatically

Our site does not use advertising trackers, analytics cookies, or behavioural fingerprinting. Our host may log standard request metadata (IP address, user agent, timestamps) for security and performance, held for a short retention window and not cross-referenced with your form submission.

What we do not collect

• We do not buy data about you from brokers.
• We do not track you across other websites.
• We do not collect payment details on this site — engagements are invoiced separately.

03How we use your information

We use what you share for the reasons you'd expect:

• To reply to you. The email you submit goes directly to our inbox so we can respond personally.
• To scope a potential engagement. The details you describe help us understand fit and propose next steps.
• To deliver services. If we engage, your information becomes part of our client record.

We do not sell, rent, or share your information with advertisers or marketers.

04Who processes your data for us

We use a small number of trusted third-party services to run the site and deliver your message. Each has its own privacy policy and is contractually bound to protect your data.

• Hostinger — website hosting.
• n8n (self-hosted) — receives form submissions and triggers email delivery. Data transits our own n8n instance before being emailed to us.
• Resend — transactional email delivery for the confirmation we send you and the internal notification we receive.
• Anthropic (Claude) — may be used to assist with drafting replies to inquiries. Your information is not used to train models.

We do not send your data to any additional processor without updating this policy first.

05How long we keep it

• Inquiry records — up to 24 months after your last contact, unless you ask us to delete sooner.
• Active client records — for the duration of the engagement plus 7 years for tax and contractual records, as required by law.
• Server logs — typically 30–90 days at the host level.

06Your rights

Wherever you live, you can ask us to:

• Confirm what information we hold about you.
• Correct anything inaccurate.
• Delete your information (subject to legal retention requirements).
• Export your information in a portable format.
• Opt out of any non-essential email.

If you're in the EU, UK, California, or another jurisdiction with specific privacy law (GDPR, UK GDPR, CCPA/CPRA), you have the additional rights granted by that law — we honour them in full. Send requests to ai@futurminds.com; we reply within 30 days.

07Security

We use least-privilege access, encrypted transit (TLS), and limited retention. Production systems we build for clients run inside the client's perimeter — we do not pool client data across engagements.

No system is perfectly secure. If we ever experience a breach that affects your information, we will notify you and the appropriate regulators as required by law.

08Children

This site and our services are intended for adults operating businesses. We do not knowingly collect information from anyone under 18. If you believe a minor has submitted information to us, email ai@futurminds.com and we will delete it.

09International transfers

Our processors may store or handle data in jurisdictions outside your own (typically the US and EU). Where required, we rely on standard contractual clauses and similar mechanisms for lawful transfer.

10Changes to this policy

We update this page when something material changes. The "Last updated" date at the top always reflects the current version. Material changes to how we handle existing data will be communicated to affected people by email.
